A custom task tracker instead of Jira: the Disk case

How a small team of designers, developers and managers got a task tracker built for its own process — with no monthly fee per user.

Disk is an internal service RandomStar built in 2020 for the team of an events company: designers drew venue seating charts and banners, developers built site modules, managers set the tasks. The service is archived now, but it shows well how a team gets a tool made for its own process.

The task

The team needed one place where any employee could give a task to a designer or a developer, attach a mock-up or a chart and see what stage it was at. Tasks got lost in messengers, and a paid tracker for the whole team did not fit the budget back then.

What was built

  • Tasks with roles. Author, assignee, co-assignees and watchers; an “urgent” flag; statuses “new”, “in progress”, “postponed”, “done”; delegation to another employee.
  • Discussion inside the task. Comments with files: mock-ups, charts, PSD and AI files sit next to the task, not in email.
  • An email on every event. A new task, a comment, completion — participants learn about it by email.
  • A task list with filters. Search by number and text, filters by status and dates, saved filters, bulk actions.
  • A company chart. Departments, positions and employee contacts on one page.
  • An admin panel. Users, permission groups, companies, an activity log.

How it works

  • A closed service. Without signing in only the sign-in form is visible; accounts are created by an administrator, there is no open registration.
  • Role-based access. A task is visible to its participants, a manager sees all tasks of the company.
  • A ready admin theme fitted to its own screens. The list, the task card and the description editor share one style.
  • No page reloads. Statuses, comments and files are saved in the background.

The result

Tasks stopped getting lost in chats, and the team got a tracker made for its own process — with no monthly fee per user. Today the service is archived. The screenshots above use demo data: names and tasks are made up.
